We believe you have made an excellent decision to study or consider studying in our University College.

At EPHEC, you will reinforce your practical and professional approach in a congenial atmosphere and improve your French language skills while discovering the incredible richness of Belgium’s cultural heritage.  This website aims at answering some of the questions you may have on academic as well as practical matters as an exchange student, and we hope it will contribute to make your stay with us as pleasant as possible. 

The EPHEC lecturers, staff (EPHEC Center for International Relations) and students will assist you in every possible way to turn this challenging opportunity into a rewarding and successful experience.

We are happy to welcome around 250 international students every year, coming from all over the world and attending (mainly) courses in English from our 10 programmes (6 in Fall semester, 4 in Spring semester)

Our main campus, where classes in English are taught, is located in Brussels, Woluwé Alma. 

This campus, part of the UC Louvain campus, is located in a residential area with an easy and quick acces to/from the city center, by Metro (Line 1 stop ALMA).

Nomination & Application

Nomination

To study at EPHEC, students have to be officially nominated by their home institution, which must have signed a student mobility agreement with EPHEC.

Nominations should be sent by the international Coordinator of our partner institution, to Mr Frédéric Simonis incoming@ephec.be 

The deadlines to be nominated are :

  • 15 May for the Fall Semester (September - January)
  • 15 November for the Spring Semester (February - June)

A confirmation will be sent with relevant information for the application procedure.

Application

Once students have been duly nominated by their home institution, they have to register online and upload the requested application documents to complete their registration.

The deadlines to register online and upload the registration documents are:

  • 1 June 2021 for the Fall Semester (September - January)
  • 1 December 2021 for the Spring Semester (February - June)

The requested application documents to be uploaded online are:

  • Letter of motivation in English (pdf)
  • A CV in English (pdf)
  • A passport photo (colour with solid background named as follows Last_Name_First_Name.jpg)
  • A copy of your passport or, failing that, a copy of your identity card
  • A copy of your international health insurance
  • if you are from a European Union member state, you do not need additional health insurance. You can apply for a "European Health Insurance Card" which simplifies the process for obtaining medical assistance abroad 
  • Proof of language skills
    • Courses in French (Regular programme): minimum B2 level as defined by the CEFR (Common European Framework of Reference for languages)
    • Courses in English:
      • minimum B2 level as defined by the CEFR (Common European Framework of Reference for languages)
      • IELTS 5.5
      • TOEFL 82

Learning Agreement

You’ll have to fill in the learning agreement to officialise the study programme you’ll follow at EPHEC.

Letter of acceptance

Students will receive by e-mail an official letter of acceptance after full completion of the previous steps.

XIOR Alma residence

Fancy a new room for your stay at Ephec in a splendid Xior residence?  Xior Alma residence is a brand new, trendy and cosy student place located 0.5 km away from Ephec (2 minutes biking, 5 minutes walking), the same to the Metro station « ALMA », line 1) 

Xior Alma residence has a wide variety of rooms : single or double (cheaper). Each standard room consists of a living/sleeping area with private bathroom, refrigerator, 'superfast' wifi, air conditioning, furnished with bed (without mattress), desk, office chair and wardrobe.

AISE

The « Agence Immobilière Sociale Étudiante » enables tstudent to rent accommodation at a lower price than on the conventional market. What's more, the support, expertise and advice offered free of charge by the A.I.S.E. team contribute to its uniqueness and give it real added value. The A.I.S.E. guarantees students that their accommodation is healthy and safe.

Sports at EPHEC

Interested in regular sports activity at a democratic price? Are you a student practising a sport at a high level and you are wondering how to your combine studies at EPHEC and your training?

Sports card

All our students have access to the "Faites du sport à l'UCL" card, which offers activities in Brussels and at LLN. You can buy this card at the start of the academic year or throughout the year, and it will give you access to a range of sporting activities in the sports facilities of our partners' university sites in Brussels and Louvain-la-Neuve at a democratic price.

Annual fee: 50 euros (valid from September to June)

How to get this card? 

Access the website to register and log on to the UCL platform.

  1. Click on the "New account" button
  2. Enter the information required to register and your EPHEC number.
  3. Click on "Send" and follow the payment procedure.

Sports programme

The sports programme also offers other regular sports activities in Brussels independently of the sports card.

During the academic year, the sports programme offers students the opportunity to represent the colours of EPHEC in various sports competitions (individual or team sports) organised by ASEUS (Association Sportive de l'Enseignement Universitaire et Supérieur) and/or FSUB (Fédération du Sport Universitaire Belge)

Inclusiveness

In accordance with our values and with the decree on inclusive education, EPHEC makes a commitment to its students to "implement reasonable adjustments necessary to their situation in the organisation, progress and support of their studies including internships and professional integration activities" (Art. 4 of the decree of 30 January 2014).

EPHEC indeed promotes equal opportunities and aims at offering an inclusive study environment. Our institution therefore organises a support service to welcome students with special needs.

Individualised support plan

Students who present a proven disability, a specific learning disability (e.g., dyslexia) or a disabling illness will be contacted by the Center for International Relations based on the information provided in the online registration form.  They should provide any documentary evidence in English in support of their request, in particular:

  • the decision of the home institution or public body responsible for the integration of people with special needs;
  • or a report drawn up by a specialist in the medical field or by a multidisciplinary team, dated less than a year before the request was made.

The support service will examine each request. All information transmitted by students is confidential. If applicable, students will receive an individualised support plan addressing their specific needs and detailing the organisation of reasonable adjustments.

Wheelchair friendly

EPHEC is wheelchair friendly. Our campus has the appropriate infrastructure to welcome students with special access needs.

Buddy System

Starting an Exchange Program is an experience often filled with both excitement and a sheer amount of stress. Most of the time you are faced with a different language and culture than the ones you are used to.

In the Buddy Program will you not only find a Buddy to help you and to share new experiences in this new city, but also and above all a friend for life!

Social and medical support

Health insurance

In Belgium, students must be covered by health insurance. This insurance offers a cover for your medical or pharmaceutical costs or in the event of hospitalisation.

  • Students from the European Union, Switzerland, Norway or Liechtenstein are covered by the social security system in their country of origin. Before leaving their country, they must obtain a European Health Insurance Card (EHIC). Students may also contract an insurance policy specifically covering their stay abroad from an insurance company of their choosing.
  • Students from countries outside the European Union who are covered by healthcare insurance in their country of origin must liaise with their insurer to ascertain whether the company operates in Belgium within the context of international agreements. If this is not the case, students can take out an insurance policy covering their stay abroad from an insurance company of their choosing. Mutuelle insurance providers are legally authorised to insure foreign students for healthcare provision.

Social and medical support

A free medical service is available to ensure the overall well-being of exchange students during their studies. With the strictest respect for medical secrecy and confidentiality, with or without an appointment, this free preventive medical consultation service is organised every Monday from 12.45 till 1.45 (room … ), starting in October.


Study in Brussels

Brussels is rich in history, architecture, gastronomy, culture and so much more! Warm, welcoming and quirky, Brussels is a bustling city where there’s always something going on.

An open and multicultural society. For several years, Belgium has featured among the top 3 most globalised countries in the world, according to the ranking by the Swiss Economic Institute. The majority of the population speaks English, especially in Brussels.

A high quality of life. An excellent healthcare system, an efficient public transport system, an intense cultural scene and easy access to a range of sports contribute to a high quality of life.

The capital city of Europe. Brussels hosts the headquarters of the main EU institutions and is de facto considered as the capital city of Europe.

How to get to Brussels. If you are in Brussels, you are in the heart of Europe. Literally and figuratively.  Brussels is not only the capital of more than half a billion Europeans; the city also occupies a highly strategic location. 

You arrive in the centre of Brussels by train from London, Paris, Amsterdam and Cologne in less than two hours. 

Thanks to Brussels Airport, the city is directly connected to 200 destinations all over the world every day. You can reach the city centre from the airport in twenty minutes. 

The city is so compact that everything is easily accessible by public transport or on foot.


Academic Calendar

The academic year is divided into 2 semesters. The 1st or Fall semester begins mid-September and ends in January. The 2nd or Spring semester begins in late January - early February and ends in June.

Resits are held at the end of August.

In the middle of each semester, there is a one week break.


Visa Procedures

You do not need a visa if you are a citizen of one of the 28 countries of the European Union, Iceland, Liechtenstein, Monaco, Norway or Switzerland. 

All other students will have to apply for a visa at their local Belgian embassy or consulate.

The required documents that you will have to prepare are the following:

  • a passport valid for at least 15 months
  • the visa application form, duly completed, dated and signed in duplicate
  • two recent photos (ID card size) signed on the back
  • a certificate of good conduct (for students 21 years of age and older) or an extract from the criminal record
  • a recent medical certificate (required form)
  • proof that the applicant has sufficient means of subsistence to cover the total cost of the stay (parent, guarantor, scholarship)
  • a certificate of acceptance provided by the University certifying that the student is registered as a regular student or that he/she is admitted to register as such.

As far as the proof of sufficient financial means, there are two possible ways to prove you have sufficient financial means.

1. Proof of Solvency

A proof of your own financial means by transferring a certain amount to the bank account administered by EPHEC. In this case, you’ll have to transfer the appropriate amount (fixed by law) on the account of EPHEC University College that will turn forward this amount on a monthly basis to your personal bank account in Belgium.

For the academic year 2023/2024, the amount is 789 € per month + 60 € of administration fees.

For the academic year 2024/2025, the amount is € 803 net per month + 60 € of administration  fees.

After transferring the correct amount, a proof of solvency will be issued by EPHEC specifying that the student has deposited in a blocked account a sum covering the costs of their stay in Belgium.

Please note that the purpose of this procedure is to obtain a visa and that the mentioned amounts are not sufficient to cover all living expenses in Belgium.

2. The form 'the commitment that charge will be taken' (in French: Engagement de Prise en charge (Annexe 32); in Dutch: Verbintenis tot Tenlasteneming (Bijlage 32)) 

The annex 32 must be completed and signed by either a Belgian, an EU-citizen living in the EU, a non-EU citizen with permanent residence in an EU member state, or your direct relatives up to the third degree and who must avail of sufficient income.

The guarantor must have regular and sufficient means of subsistence for themselves, for each dependent person and for each dependent third-country national.

These means must be at least equal to 120% of the amount of the living wage granted to a person living with a dependent family, i.e. 2.008,32 euros net/month. 

To this amount is added the minimum amount that each dependent third-country national must have, namely 789 euros net/month for the 2023/2024 academic year. The amount for 2024-2025 is 803 € per month.

A guarantor taking on a formal obligation to a student will need to prove that they have at least 2,008,32 euros net/month + 789 euros net/month) = 2,797,32 euros net/month.

The Belgian Consulate or Embassy has the authority to require official proofs of your guarantor's income and to investigate this accordingly. It is recommended that you include these proofs when you submit the form. By signing the annex 32 your guarantor declares that he/she agrees to have a joint and several liability for the following costs: your health expenses, your stay in Belgium, your studies, and your return to your home country, for at least one academic year. Your guarantor has the option to choose to be responsible for just one academic year, or, for the entire duration of the academic cycle (bachelor, master, etc.). The document must be legalised by the Belgian Consulate or Embassy.

*Amount indexed on 01/05/22 (Please be aware that this amount needs to be in rule with the most recent updated amount, on the moment that you file your visa application. Please check the website of the Immigration Office for the latest update)
In case of doubt, the Belgian Consulate or Embassy in your home country will inform you as to what form of the proof of solvency is acceptable and what procedures to follow.


ECTS System

The ECTS (European Credit Transfer and Accumulation System) is the system used to make study mobility possible as it enables to credit each course with an ECTS value.  It makes it possible to establish the Learning Agreement between the student, the host institution and the institution of origin, 

The ECTS weight of each course is calculated based on the overall volume of work required of the student to achieve the results expected at the end of the learning.  This means that the overall workload for the course is taken into account and not only attendance.

60 credits represent the workload of an academic year. As a general rule, 30 credits are equivalent to a term.  The Learning Agreement which officialises the study programme followed by the student will indicate the ECTS credits of each course and will be signed by the 3 parties: the student, the host institution and the institution of origin.

At the end of the stay, an official transcript indicating the marks obtained for each course will be sent to the institution of origin.  It will indicate the score distribution table and will enable the institution of origin to convert the obtained results in the home grading scale.
